The ideal workflow eliminates every paper touchpoint:

  1. Customer books online. During the checkout flow, the waiver is presented as a required step before payment.
  2. Customer reads and signs. The waiver text is displayed on screen. Customer types their name and/or draws a finger signature. Date and timestamp are captured automatically.
  3. Minor participants are handled. If the booking includes anyone under 18, the system prompts the adult to sign on their behalf, listing each minor by name and age.
  4. Waiver is stored. The signed waiver is attached to the booking record — searchable by customer name, date, or booking ID.
  5. Customer arrives. Staff sees "waiver signed ✓" on the reservation. No clipboard. Check-in is "verify name, hand over equipment, go."

Choose Your Approach

There are three ways to digitize your waivers, ranked from best to acceptable:

Option 1: Built into your booking software (best). Waiver is part of the booking checkout flow. Every online booking has a signed waiver by default. No integration needed, no separate tool. Option 3: Standalone waiver tool, no integration. You send customers a separate waiver link by email after they book. Better than paper, but you'll have bookings without waivers (customers ignore the email), and waivers are stored separately from bookings.

Set Up Your Digital Waiver

Whether you use built-in or standalone waiver software, the setup process is similar:

  1. Write or adapt your waiver text. Use your existing paper waiver as a starting point. Include: identification of parties, activity description, assumption of risk, release of liability, equipment acknowledgment, rules, financial responsibility, and signature.   2. Add required fields. Full name, date of birth, phone number, emergency contact, and signature at minimum. Make these required — the system shouldn't accept an incomplete waiver.
  3. Configure the minor participant section. If participants under 18 are possible, add a section where guardians list each minor by name and age, and sign on their behalf.
  4. Set your retention policy. Keep waivers for 3-5 years minimum. For minors, keep until 2-3 years after they turn 18. Digital storage makes this essentially free.
  5. Test the flow. Complete a booking with waiver on your phone. Read the waiver text at mobile screen size — is it legible without zooming? Is the signature area large enough for a finger?

Handle Walk-Ins Without Paper

Not every customer books online. Walk-ins still need to sign a waiver. Here's how to keep it digital:

  • Counter tablet. An iPad or Android tablet at your check-in counter running your waiver form. Walk-in customers sign on the tablet instead of paper. Cost: one tablet ($250-$400, one-time).
  • QR code sign. A printed QR code at the counter that opens the waiver on the customer's own phone. They sign on their device. Cost: free (print a sign).
  • Staff-created booking. Staff creates the booking in your system (entering the walk-in customer's info), which triggers the waiver flow. Customer signs on the staff tablet or their own phone.

The goal is zero paper waivers, period. Every waiver — online booking or walk-in — should be digital and stored in the same system.
